When you email us
If you email [email protected], we receive your email address, your name if it appears in your email, the content of your message and any attachments.
When you browse the website
Like most websites, the servers that host our site may automatically record basic technical information when you visit, such as your IP address, browser type, device type and the pages you request. This is used to deliver the website and keep it secure.
The Cookie Policy explains how we use cookies.
How We Use Your Personal Data
We use your personal data to:
- read and reply to your enquiry
- pass your enquiry to the right person in our company
- keep a record of our correspondence with you
- run the website and keep it secure
- meet our legal obligations
We will not use the details you give us through the contact form to send you marketing unless you have separately agreed to receive it.
We do not sell your personal data.
Our Lawful Basis
The UK GDPR requires us to have a lawful basis for using personal data. We rely on:
- Legitimate interests: to respond to enquiries, keep records of our correspondence and keep the website secure. We only rely on this where our interests are not outweighed by your rights and interests.
- Contract: where your enquiry is about using our services and you ask us to take steps before entering into an agreement with you.
- Legal obligation: where we must keep or share information to comply with the law.
The tick box on the contact form confirms that you agree to us using your details to respond to your enquiry, as described in this policy.
Who We Share Your Personal Data With
We only share personal data where we need to. This may include:
- Service providers that help us run the website and handle enquiries. These are our website hosting provider, the service that delivers contact form messages and our email provider. Contact form messages are delivered by Web3Forms, which emails them to us. Our lifeassess.org mailboxes are hosted by IONOS. Our providers act on our instructions and must keep your data secure. A list of our current providers is available on request from [email protected].
- Professional advisers such as accountants and lawyers, where needed
- Authorities, regulators or courts where the law requires us to
International Transfers
Some of our service providers may process personal data outside the UK. Where they do, we make sure your data is protected. We rely on UK adequacy regulations, which confirm that a country provides adequate protection, or on the ICO’s International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
For more details about these safeguards, contact us at [email protected].
How Long We Keep Your Personal Data
We keep enquiries and our related correspondence for 2 years from our last contact with you, unless we need to keep them longer for a legal reason or because the enquiry has led to an ongoing relationship. After that we delete them securely.
Technical logs are kept by our website host for as long as it needs them to run and secure the website.
How We Protect Your Personal Data
We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. Access is limited to people who need it to do their work.
No method of sending data over the internet is completely secure, but we take care to protect the information you give us.
Your Rights
Under UK data protection law you have the right to:
- Access: ask for a copy of the personal data we hold about you
- Rectification: ask us to correct data that is wrong or incomplete
- Erasure: ask us to delete your data in certain circumstances
- Restriction: ask us to limit how we use your data in certain circumstances
- Objection: object to us using your data where we rely on legitimate interests
- Data portability: ask us to transfer data you have given us to you or to another organisation in certain circumstances
- Withdraw consent: where we rely on your consent, withdraw it at any time. This does not affect anything we did before you withdrew it.
To use any of these rights, email [email protected]. We may ask you to confirm your identity. We will reply within one month. In some cases the law allows us to extend this, and we will tell you if we do.
Using your rights is normally free of charge.
